Working with Business

Business is an automatically created agreement between a buyer and seller after successful completion of trading for an order. Business includes signing a contract, organizing delivery, nominating transportation, and tracking order fulfillment.


🆕 Creating Business

How it works?

When a buyer and seller agree on terms in an order (accepting a proposal or counter-proposal), the system automatically creates a “Business” entity.

What happens automatically:

  • ✅ A new business is created with a unique ID
  • 📄 A contract is generated based on agreed terms
  • 📬 Both parties receive a notification about business creation
  • 🔔 A notification appears in the “Documents” tab

Information in the business card:

📋 Header:

  • 🌾 Product name (for example, Corn Class 1)
  • 💰 Price per ton (for example, 4 200 ₴/MT)
  • ⚖️ Volume with tolerance (for example, 300±10% SO)

📊 Fulfillment Progress:

  • 🚚 0 MT Delivered — how much has been delivered
  • 📦 300 MT — total contract volume
  • 🧾 0 ₴ Invoiced — how much has been invoiced
  • 💵 0 ₴ Paid — how much has been paid
  • 💰 1 260 000 ₴ — total contract amount

🚛 Delivery Terms:

  • 📝 Contract type by INCOTERMS 2020 (for example, DAP)
  • 📍 Delivery location (for example, Terminal Trans Logistic, Uznyi, Liprel)
  • 📅 Delivery period (for example, Mar 15, 2025 - Apr 22, 2025)

✍️ Step 1: Signing the Contract

How it works?

After creating a business, the system automatically generates a contract that both parties must sign.

Step 1. Go to the “Documents” tab

  1. In the business card, click the “Documents” tab
  2. A 🔔 notification will appear next to the tab about a new document
  3. You will see the generated contract

Step 2. Review the contract

Open the contract document and check all terms:

  • 🌾 Product and quality indicators
  • 💰 Price and total amount
  • ⚖️ Delivery volume
  • 📅 Performance period
  • 🚛 Delivery terms (DAP, FCA, etc.)
  • 💵 Payment terms
  • 🏢 Parties’ details

Step 3. Sign the contract

  1. Click the “Sign” button
  2. Confirm signing (electronic signature or other mechanism may be possible)
  3. ✅ Your signature is recorded in the system

Step 4. Wait for the second party’s signature

  1. The second party will receive a notification about the need to sign
  2. After signing by both parties, the contract takes effect
  3. Contract status changes to Signed
  4. 📥 You can download the signed contract in PDF format

🚚 Step 2: Organizing Delivery

How it works?

After signing the contract, the delivery flow begins. Depending on the contract type (DAP, FCA, etc.), responsibility for logistics lies with different parties.

Contract types and responsibility:

📦 DAP (Delivered at Place):

  • 👤 Who is responsible for logistics: Seller
  • What is filled: Point B (delivery location)
  • What needs to be added: Point A (where to pick up the goods)

🚛 FCA (Free Carrier):

  • 👤 Who is responsible for logistics: Buyer
  • What is filled: Point A (where to pick up the goods)
  • What needs to be added: Point B (where to deliver)

Step 1. Go to the “Delivery” tab

  1. In the business card, click the “Delivery” tab
  2. You will see information about the delivery period
  3. A ”+ Add Point” button will appear

Step 2. Add delivery point

  1. Click ”+ Add Point”
  2. Fill in the information:
    • 🏢 Point Type: Warehouse or other
    • 📝 Name: for example, “Warehouse Chernihiv, Chernihiv Region”
    • 📍 Address: full address of the point
    • 🗺️ Coordinates: (if needed)
  3. Save the point

⚠️ Important:

  • If the contract is DAP — add Point A (where to pick up)
  • If the contract is FCA — add Point B (where to deliver)
  • Without a filled point, it’s impossible to nominate transportation

Step 3. Check the route

After adding the point, you will see:

  • 📍 Point A: shipping address
  • 📍 Point B: delivery address
  • 🛣️ Distance: automatically calculated
  • 📊 Status: Awaiting transportation nomination

🚛 Step 3: Nominating Transportation

Who nominates transportation?

Transportation is nominated by the party responsible for logistics:

  • 📦 DAP: seller nominates transportation
  • 🚛 FCA: buyer nominates transportation

Step 1. Open the nomination form

  1. In the “Delivery” tab, a “Nominate Transportation” button will appear
  2. Click the button
  3. A form for adding transportation will open

Step 2. Fill in transportation data

🚗 Vehicle Information:

  • Vehicle Number: license plate (for example, ВН5903ІС12212131)
  • Vehicle Type: truck, tractor, etc.
  • Load Capacity: (if needed)

🚚 Trailer Information:

  • Trailer Number 1: (for example, ВН5534ХІ)
  • Trailer Number 2: (if available, for example, ВН5535ХІ)

👨‍✈️ Driver Information:

  • First Name: driver’s first name
  • Last Name: driver’s last name
  • Phone Number: driver’s contact number (format +380XXXXXXXXX)

Step 3. Save nomination

  1. Check all entered data
  2. Click “Nominate”
  3. ✅ The system will save transportation information

Step 4. Automatic driver registration

✅ If the driver is already registered in the system:

  • The driver will immediately receive a message in the Telegram bot
  • 📱 Message: “You have been nominated for a new voyage [Voyage ID]. View details”
  • The driver can confirm or reject the nomination

📱 If the driver is NOT registered:

  • The driver will receive an SMS to the specified phone number
  • SMS contains a link to the Telegram bot for registration
  • After registration, the driver will receive voyage information

Step 5. Creating a voyage (trip)

After nominating transportation:

  • ✅ A voyage (trip) is automatically created
  • 📄 A TTN (consignment note) is generated
  • 📱 The driver sees the voyage in their Telegram bot
  • 📊 Voyage Status: Nominated or Awaiting driver confirmation

Step 6. Download documents

📄 TTN (Consignment Note):

  • Automatically generated for each voyage
  • Contains information about cargo, route, transportation, driver
  • Available for download in the “Documents” tab
  • Both parties can download the TTN in PDF format

How to download TTN:

  1. Go to the “Documents” tab
  2. Find the document “TTN [voyage number]”
  3. Click “Download”
  4. Print or send to the driver

📊 Step 4: Tracking Delivery Fulfillment

How it works?

After nominating transportation and the driver confirming the voyage, the system automatically tracks fulfillment statuses on the driver’s side.

Voyage statuses (displayed in business):

How to track status:

Step 1. Go to the “Delivery” tab in the business card

Step 2. You will see a list of all nominated voyages with statuses:

  • 🚛 Voyage #1 — [current status]
  • 🚛 Voyage #2 — [current status]

Step 3. Click on a voyage for details:

  • 🚗 Transportation information
  • 👨‍✈️ Driver name and contact
  • 📍 Current geolocation (if supported)
  • 📜 Status change history
  • ⚖️ Entered weighing data

Business fulfillment progress:

At the top of the business card, overall progress is displayed:

  • 🚚 0 MT Delivered150 MT Delivered (updates after each completed voyage)
  • 📦 Total Volume: 300 MT
  • Remaining to deliver: 150 MT

💡 Tips and Possible Errors

Tips:

  • ✓ Sign the contract quickly — delivery won’t start without both parties’ signatures
  • ✓ Add delivery points immediately after signing the contract
  • ✓ Check the driver’s phone number before nomination — registration depends on this
  • ✓ Nominate transportation in advance so the driver has time to prepare
  • ✓ Download TTN and keep a copy for verification
  • ✓ Monitor voyage statuses in real time
  • ✓ If the driver is delayed — contact them directly for clarification

⚠️ Possible Errors:

❌ Can’t sign the contract:

  • Make sure you are authorized and have signing rights
  • Check if one party has already signed — maybe your signature is awaited
  • Refresh the page and try again
  • Contact technical support if the error persists

❌ “Add Point” button doesn’t appear:

  • Make sure the contract is signed by both parties
  • Check if you have responsibility for logistics in this contract
  • If the contract is DAP and you are the seller — the button should appear
  • If the contract is FCA and you are the buyer — the button should appear

❌ Message: “Delivery point A is missing”:

  • You haven’t added the required delivery point yet
  • Click ”+ Add Point” and fill in the information
  • Make sure you added the correct point (A or B) according to the contract type

❌ Can’t nominate transportation:

  • Check if all required delivery points are added (A and B)
  • Make sure the contract is signed by both parties
  • Check if you have responsibility for logistics
  • Fill in all required fields: vehicle number, trailer number, driver name and phone

❌ Driver didn’t receive SMS/message:

  • Check the phone number accuracy (format +380XXXXXXXXX)
  • Make sure the driver has mobile connection
  • If the driver is registered — check if they blocked the bot
  • Try contacting the driver directly and send the bot link manually

❌ Voyage status not updating:

  • Status updates on the driver’s side through the Telegram bot
  • Make sure the driver confirmed the voyage and changes statuses
  • Refresh the page to get the latest data
  • If the driver doesn’t change statuses — contact them for clarification

❌ Can’t download TTN:

  • Make sure the voyage is created (transportation nominated)
  • Go to the “Documents” tab and find the TTN
  • If the document is missing — contact technical support
  • Try refreshing the page
