Requisites (Bank Accounts)

Managing your companyโ€™s bank account details for financial operations on the INBULK platform. Bank accounts (requisites) are used when creating invoices, processing payments, and exchanging payment instructions with counterparties. This section covers how to add, validate, manage, and share your bank account information.

๐Ÿฆ 1. Bank Account List

Overview

The Requisites page displays all bank accounts registered for your company. Each entry shows the key details needed for financial operations.

Displayed Information

FieldDescription
๐Ÿ”ข IBANInternational Bank Account Number โ€” the primary identifier
๐Ÿฆ Bank NameName of the financial institution
๐Ÿ”— BIC/SWIFTBank Identifier Code for international transfers
๐Ÿ”ข MFOUkrainian bank code (Mizhbankivskyi Finansovyi Oblik)
๐Ÿ’ฑ CurrencyAccount currency โ€” UAH, USD, EUR, or other
๐Ÿ“Š StatusActive or inactive state of the bank account
  1. Go to Settings in the main sidebar
  2. Select Requisites (or Bank Accounts)
  3. You will see a list of all registered bank accounts for your company
  4. Each account is displayed as a card or row with the information listed above

Account Display

Bank accounts are displayed in the order they were added. Each account card provides a clear summary of the key details at a glance:

  • The IBAN is prominently displayed as the primary identifier
  • Currency is shown with its international code (UAH, USD, EUR)
  • Bank Name helps you quickly distinguish between accounts at different financial institutions
  • Action buttons for Share and Delete are accessible directly from the card

๐Ÿ’ก Tip: You can register multiple bank accounts with different currencies. This is useful if your company trades internationally and needs to receive payments in USD or EUR in addition to UAH.

๐Ÿ“ฑ Mobile: On mobile devices, bank account cards are optimized for touch interaction with swipe actions for quick access to share and delete options.

โž• 2. Adding a Bank Account

Overview

Adding a bank account is straightforward โ€” you enter the IBAN and the system automatically validates it and fills in the bank details. You can add multiple accounts in a single dialog session.

Step-by-Step

  1. Go to Settings > Requisites
  2. Click the โ€œAdd Bank Accountโ€ button
  3. A dialog window opens with the IBAN input field
  4. Enter the IBAN number in the input field

Automatic Validation and Auto-Fill

  1. As you enter the IBAN, the system validates the format automatically via API
  2. If the IBAN is valid, the system auto-fills the following fields:
    • ๐Ÿฆ Bank Name โ€” identified from the IBAN
    • ๐Ÿ”— BIC/SWIFT Code โ€” resolved automatically
    • ๐Ÿ”ข MFO Code โ€” Ukrainian bank code, populated automatically
  3. The currency is determined based on the IBAN country and bank details

โš ๏ธ Important: Auto-populated fields (Bank Name, BIC/SWIFT, MFO) cannot be manually overridden. This ensures data accuracy and prevents incorrect bank details from being saved.

Adding Multiple Accounts

  1. After the first account is validated, you can click โ€œAdd Anotherโ€ to add an additional bank account in the same dialog session
  2. Repeat steps 4-7 for each new account
  3. When finished, click โ€œSaveโ€ or โ€œConfirmโ€ to save all added accounts at once

๐Ÿ’ก Tip: Prepare all your IBAN numbers before opening the dialog. Adding multiple accounts in one session is faster than opening the dialog multiple times.

What Happens After Saving

  • โœ… The new bank account(s) appear in your requisites list
  • ๐Ÿ“Š Status is set to Active by default
  • ๐Ÿ’ผ The account is immediately available for use in invoices and payment instructions
  • ๐Ÿ”” No confirmation email is sent โ€” the account is active instantly

Example: Adding a UAH Bank Account

Here is an example of what the process looks like:

  1. You enter IBAN: UA903052992990004149123456789
  2. The system validates the format โ€” โœ… green checkmark appears
  3. Auto-filled fields populate:
    • Bank Name: PrivatBank
    • BIC/SWIFT: PBANUA2X
    • MFO: 305299
  4. Currency: UAH (determined automatically)
  5. You click โ€œSaveโ€ โ€” the account is added to your list

โœ… 3. IBAN Validation

How It Works

INBULK uses real-time API validation when you enter an IBAN. The validation process ensures that only legitimate, correctly formatted bank account details are stored in the system.

Validation Steps

StepWhat Happens
1You start typing the IBAN in the input field
2The system checks the format (length, country prefix, check digits)
3If format is valid, the system queries the bank identification API
4The API returns bank name, BIC/SWIFT, and MFO code
5Auto-filled fields are displayed and locked (read-only)

Validation Indicators

  • โœ… Green checkmark โ€” IBAN is valid, bank details resolved successfully
  • โŒ Red error message โ€” IBAN is invalid or not recognized
  • โณ Loading spinner โ€” validation is in progress (API call in flight)

Why Auto-Fill Cannot Be Overridden

The bank details are populated from an official bank registry via API. Allowing manual overrides could lead to:

  • โŒ Incorrect BIC/SWIFT codes causing failed international transfers
  • โŒ Mismatched bank names causing confusion with counterparties
  • โŒ Wrong MFO codes causing domestic transfer issues

By locking these fields, INBULK guarantees that your bank details are always accurate and consistent.

๐Ÿ’ก Tip: If the IBAN validation returns an error but you believe the number is correct, double-check for typos โ€” especially the first two country-code letters and the check digits that follow.

โš ๏ธ Important: Currently, IBAN validation supports Ukrainian (UA) bank accounts with the most comprehensive auto-fill. Other countriesโ€™ IBANs may have limited auto-fill capabilities.

โœ๏ธ 4. Editing Bank Accounts

  2. Navigate to Settings > Requisites
  3. Tap on the bank account you want to edit
  4. The account fields become editable inline
  5. Modify the associated details as needed
  6. Tap โ€œSaveโ€ to apply changes

What Can Be Edited

FieldEditable?Notes
๐Ÿ”ข IBANโŒ NoCannot be changed โ€” delete and re-add if needed
๐Ÿฆ Bank NameโŒ NoAuto-populated and locked
๐Ÿ”— BIC/SWIFTโŒ NoAuto-populated and locked

โš ๏ธ Important: Even on mobile, the core IBAN and auto-populated bank details (Bank Name, BIC/SWIFT, MFO) cannot be changed. If you need a different IBAN, delete the account and add a new one.

๐Ÿ’ก Tip: If you need to edit a bank account and are working from a desktop computer, use your mobile device to make the change. The update will sync immediately and be visible on all platforms.

๐Ÿ—‘๏ธ 5. Deleting Bank Accounts

Overview

You can remove bank accounts that are no longer in use. However, the system protects accounts that are actively referenced in businesses.

Step-by-Step

  1. Go to Settings > Requisites
  2. Find the bank account you want to delete
  3. Click the โ€œDeleteโ€ button (trash icon)
  4. A confirmation dialog appears asking you to confirm the deletion
  5. Click โ€œConfirmโ€ to permanently remove the bank account

Deletion Restrictions

โš ๏ธ Important: You cannot delete a bank account that is currently used in active businesses. The system will display an error message if you attempt to do so.

ScenarioCan Delete?Explanation
Account not used in any businessโœ… YesFreely deletable
Account used in active businessesโŒ NoMust wait until all related businesses are completed
Account used in completed businessesโœ… YesHistorical records are preserved independently

What Happens After Deletion

  • โœ… The bank account is permanently removed from your requisites list
  • ๐Ÿ“„ Historical invoices and documents that referenced this account are not affected โ€” they retain the bank details as they were at the time of creation
  • ๐Ÿ”„ If you need to re-add the same account later, go through the full addition process again

๐Ÿ’ก Tip: Before deleting an account, check if any pending invoices or upcoming businesses reference it. Switch those to a different account first if possible.

๐Ÿ“ค 6. Sharing Bank Details

Overview

You can share your bank account details in a formatted view with counterparties. This is useful for sending payment instructions outside of the platformโ€™s built-in invoicing system.

How to Share

  1. Go to Settings > Requisites
  2. Find the bank account you want to share
  3. Click the โ€œShareโ€ button (or share icon) on the account card
  4. The system generates a formatted bank details view containing:
    • ๐Ÿข Company Name
    • ๐Ÿ”ข IBAN
    • ๐Ÿฆ Bank Name
    • ๐Ÿ”— BIC/SWIFT Code
    • ๐Ÿ”ข MFO Code
    • ๐Ÿ’ฑ Currency
  5. Choose your sharing method:
    • ๐Ÿ“‹ Copy to Clipboard โ€” copies the formatted details as text
    • ๐Ÿ”— Share Link โ€” generates a shareable link to the formatted view

Use Cases

  • ๐Ÿ’ต Sending payment instructions to a counterparty via email or messenger
  • ๐Ÿ“„ Including bank details in external documents or contracts
  • ๐Ÿค Providing requisites to new trading partners before starting business on the platform
  • ๐Ÿ“ง Responding to payment detail requests from counterparties quickly and accurately

Example: Shared Bank Details Format

When you copy bank details to the clipboard, the formatted output looks like this:

Company: Agro Trade LLC IBAN: UA903052992990004149123456789 Bank: PrivatBank BIC/SWIFT: PBANUA2X MFO: 305299 Currency: UAH

This clean format can be pasted directly into emails, messages, or documents.

๐Ÿ’ก Tip: The copy-to-clipboard option formats the details in a clean, professional layout that you can paste directly into an email or message. No manual formatting needed.

โš ๏ธ Important: Be cautious when sharing bank details through external channels. Only share with verified counterparties you trust. On the platform, bank details in invoices are shared securely.

๐Ÿ’ก Tips and Possible Errors

Tips

  • โœ“ Always double-check the IBAN before saving โ€” once auto-filled, the bank details are locked
  • โœ“ Add bank accounts in multiple currencies (UAH, USD, EUR) to support international trading
  • โœ“ Use the Share feature instead of manually typing bank details โ€” it reduces errors
  • โœ“ Keep your bank account list clean โ€” delete unused accounts to avoid confusion when creating invoices
  • โœ“ Prepare your IBAN numbers before opening the add dialog โ€” adding multiple in one session is more efficient
  • โœ“ If you operate with multiple legal entities, ensure each company on the platform has its own set of bank accounts

โ“ Frequently Asked Questions

Can I add a bank account from a foreign bank?

Yes, you can add IBANs from foreign banks. However, the auto-fill feature works best with Ukrainian banks. Foreign bank IBANs may require additional verification or may have limited auto-fill capabilities.

How many bank accounts can I add?

There is no strict limit on the number of bank accounts per company. You can add as many as your business requires.

What happens if my bank changes its BIC/SWIFT code?

Since BIC/SWIFT codes are auto-populated from the IBAN, you would need to delete the existing account and re-add it. The system will fetch the updated bank details during the new IBAN validation.

Can other employees see my companyโ€™s bank accounts?

Yes, bank accounts are visible to all employees who have the appropriate Finance or Settings permissions. Control who sees financial details through the employee permission matrix.
