Company Settings
The Company Settings page is where you manage your company’s profile, legal documents, platform agreements, and system notifications. Keeping your company profile complete and up to date is essential for smooth trading operations on INBULK — incomplete profiles may restrict access to certain platform features.
🏢 Company Profile
Your company profile contains the core business information that identifies your organization on the platform. This information is visible to trading partners and appears on contracts and documents.
Viewing Your Profile
- Open the sidebar navigation and click “Company Settings”
- The Company Profile section is displayed at the top of the page
- You will see all registered company details in a structured form
Editable Fields
The following fields can be edited inline — simply click on a field value to activate editing mode:

How to Edit a Field
- Click on the value of the field you want to change
- The field becomes an editable input with the current value pre-filled
- Make your changes using the keyboard
- Press Enter or click outside the field to save the new value
- Click the cancel icon (✕) to discard changes and revert to the previous value
- A brief success notification will appear in the top-right corner confirming the update
Field Validation Rules
The system validates your input before saving:

🖼️ Company Logo & Photos
Visual identity helps trading partners recognize your company across the platform.
Company Logo
Your company logo appears in:
- Your company profile card
- Trading cards when your orders appear in the Trade feed
- Business (agreement) documents and contracts
Uploading a Logo
- In the Company Profile section, locate the logo area (circular placeholder)
- Click “Upload Logo” or click directly on the placeholder
- Select an image file from your device
- The logo will be cropped to a square format automatically
- Click “Save” to confirm

Managing Photos
- To reorder photos, drag and drop them into your preferred sequence
- To delete a photo, hover over it and click the trash icon (🗑️)
- The first photo in the gallery is used as the cover image on your company profile card
💡 Tip: Companies with complete profiles — including a logo and facility photos — tend to build trust faster with potential trading partners. A professional presentation can make a difference when counterparties evaluate your proposals.
⚠️ Important: All uploaded photos are visible to other platform users. Do not upload images containing sensitive information, personal data, or content unrelated to your business.
📄 Statutory Documents
The Statutory Documents section is where you upload the legal documents required for full platform participation.
Required Documents
Depending on your company type, you may need to upload:
- 📜 Registration Certificate — proof of company registration
- 📋 Extract from the Unified State Register — official registry extract
- 💼 Tax Registration Certificate — proof of tax registration
- 📄 Company Charter / Statute — organizational founding documents
- 🪪 Director’s ID Document — identity verification for the authorized signatory
- 📑 Power of Attorney — if actions are performed by a representative (not the director)
How to Upload Documents
- Navigate to the “Statutory Documents” section in Company Settings
- Click ”+ Upload Document” next to the document category
- Select a file from your device
- The file is uploaded and processed

Document Status Indicators
Each uploaded document displays a status badge:

After Uploading
- Documents enter “Pending Review” status after upload
- The INBULK team reviews documents for completeness and validity
- You will receive a notification when a document is approved or rejected
- If rejected, click on the document to see the rejection reason and upload a corrected version
Replacing a Document
If you need to upload an updated version of a document:
- Locate the existing document in the list
- Click the “Replace” button next to the document
- Select the new file from your device
- The old version is replaced and the status resets to “Pending Review”
- Previous versions are not retained — only the latest upload is stored

🔐 Platform Agreement
The Platform Agreement (also known as the Accession Treaty) is the legal contract between your company and the INBULK platform. It must be signed before you can fully participate in trading.
Viewing the Agreement
- Navigate to the “Platform Agreement” section in Company Settings
- The full text of the INBULK Accession Treaty is displayed
- Read the agreement carefully — it covers:
- Terms of platform usage
- Rights and obligations of the parties
- Commission structure and fees
- Dispute resolution procedures
- Data protection and confidentiality
Signing with EDS (Electronic Digital Signature)
The agreement must be signed using your company’s EDS key (also known as KEP — Qualified Electronic Signature):
- After reviewing the agreement, click “Sign with EDS”
- A dialog will appear prompting you to upload your EDS key file
- Select the key file from your device (typically a
.dat,.jks, or.pfxfile) - Enter your EDS password when prompted
- The system verifies the signature and records it
- ✅ The agreement status changes to “Signed”
Agreement Status Tracking

What Happens If You Don’t Sign
- You can still browse the platform and view orders
- You cannot create orders or participate in trading
- You cannot sign business contracts
- A persistent alert banner will appear reminding you to sign the agreement
- The sidebar will show an alert badge next to Company Settings
⚠️ Important: The platform agreement is a legally binding document. Make sure the person signing has the authority to represent your company. If in doubt, consult with your legal department.
💡 Tip: If you skipped signing during registration, you can complete it at any time from this section. Having the EDS key file ready before starting the signing process will make it quick and seamless.
🔔 Company Alerts
The Company Alerts system notifies you about issues that require attention in your Company Settings.
Types of Alerts
Alerts appear as badges in the sidebar navigation next to the Company Settings menu item, and as banners at the top of the Company Settings page.
📄 Missing Required Documents
- Trigger: One or more statutory documents have not been uploaded
- Message: “Missing required documents: Registration Certificate, Tax Registration”
- Action: Upload the missing documents in the Statutory Documents section
- Impact: May restrict access to contract signing and order creation
🔐 Unsigned Platform Agreement
- Trigger: The INBULK Accession Treaty has not been signed
- Message: “Platform agreement is not signed. Sign to unlock full trading features.”
- Action: Navigate to the Platform Agreement section and sign with EDS
- Impact: Cannot create orders, participate in trading, or sign business contracts
⚠️ Incomplete Profile Fields
- Trigger: Required company profile fields are empty (for example, missing phone number or legal address)
- Message: “Company profile is incomplete. Fill in the following fields: Phone, Legal Address”
- Action: Go to Company Profile and fill in the highlighted fields
- Impact: Incomplete profiles may reduce trust from trading partners
❌ Rejected Documents
- Trigger: A previously uploaded document was rejected during review
- Message: “Document rejected: Registration Certificate. Reason: Document is expired.”
- Action: Upload a corrected version of the document
- Impact: The rejected document is treated as missing until a valid replacement is approved
Alert Badge in Sidebar
- A red badge with a number appears next to “Company Settings” in the sidebar
- The number indicates how many unresolved alerts exist
- The badge disappears once all alerts are resolved
Resolving Alerts
- Click on the alert banner or navigate to the relevant section
- Complete the required action (upload document, sign agreement, fill in fields)
- The alert will automatically clear once the condition is satisfied
- The sidebar badge count will decrease accordingly
💡 Tip: Resolve all company alerts as soon as possible after registration. A fully configured company with all documents approved and the agreement signed ensures uninterrupted access to all INBULK platform features.
⚠️ Important: Some alerts are blocking — meaning they prevent you from performing certain actions on the platform. The unsigned agreement alert, for example, blocks all trading functionality until resolved.

- ✓ Complete your profile immediately after registration — this unlocks all platform features and builds trust with trading partners
- ✓ Use official company data for the EDRPOU/TIN and legal address — mismatches with government records may cause verification issues
- ✓ Upload a professional logo — it appears on trading cards and business documents, creating a polished first impression
- ✓ Prepare statutory documents in PDF format before navigating to the upload section — accepted format is PDF only, max 10 MB
- ✓ Keep your EDS key accessible — you will need it to sign the platform agreement and business contracts
- ✓ Check alerts regularly — unresolved alerts may silently block you from creating orders or signing contracts
- ✓ Update your profile when company details change — outdated information on contracts can cause legal complications
- ✓ Use the actual address field if your operating location differs from the registered legal address — this helps with logistics coordination
