Non-Standard Situations During Inspection
During inspection, cargo analyses may show deviations from the norm. Depending on the results, the voyage may fall under discounts, require fumigation, or be completely rejected. Each situation has its own processing procedure.
💰 Option 1: Cargo Falls Under Discounts
How it works?
If grain quality indicators are below standard, but the cargo is still suitable for acceptance, the terminal may apply price discounts. The seller has limited time to make a decision.
Step 1. Receive discount notification
After inspection, you will receive a message:
⚠️ Attention! Cargo falls under discounts
Status: changes to Discount
Bot will show information:
- 📊 Which specific indicators didn’t pass
- 💵 What discount amount will be applied
- ⏱️ How much time there is to make a decision (for example, 1 hour)
Step 2. Seller makes decision
⚠️ Important: This message is received by the seller (cargo owner), not the driver.
Seller has three options:
🟢 Option A: Accept Discount
- Seller clicks “Accept Terms”
- Cargo will be accepted at reduced price
- Status: changes to
Ready for Unloading - Driver will receive message: “Cargo accepted with discount. Wait for unloading direction”
🔴 Option B: Refuse and Take Cargo
- Seller clicks “Refuse”
- Seller decides to refuse selling at reduced price
- Driver will receive message: “Cargo rejected. Contact dispatch for instructions”
- Need to take cargo and return or find another buyer
🔄 Option C: Resell Cargo
- Seller clicks “Resell”
- Seller looks for another buyer who will accept the cargo
- Driver will receive message: “Wait. Searching for alternative buyer”
- After finding a new buyer, the voyage will update with a new address
Step 3. Automatic acceptance
If the seller doesn’t respond within the set time (for example, 1 hour):
- ⏰ System automatically accepts terms with discount
- Status: automatically changes to
Ready for Unloading - 📱 Driver receives: “Cargo automatically accepted with discount. Wait for unloading direction”
- 📱 Seller receives: “Decision time expired. Cargo accepted with discount”
Step 4. Continue voyage
After status changes to “Ready for Unloading”:
- Terminal will call you for unloading
- Continue voyage execution as usual
- Transition to status “At Unloading”
🧪 Option 2: Cargo Requires Fumigation
What is fumigation?
Fumigation is chemical treatment of grain to destroy insects and pests. If live insects are found in samples, the cargo must be treated before acceptance.
Step 1. Receive fumigation notification
After inspection, you will receive a message:
⚠️ Attention! Cargo requires fumigation
Status: changes to Requires Fumigation
Bot will show information:
- 🐛 Reason: live insects detected
- ⏱️ Estimated processing time: usually 24-48 hours
- 💰 Fumigation cost (if applicable)
Step 2. Wait for fumigation assignment
- System automatically transfers fumigation request to specialized service
- You will receive message: “Fumigation assigned. Expected terms: [date/time]”
- Terminal will give you instructions where to submit the vehicle for processing
Step 3. Fumigation process
- Submit vehicle to the specified fumigation area
- 📊 Status: changes to
At Fumigation - Specialists will conduct chemical treatment of cargo
- ⏱️ This takes from 24 hours and more
- You will receive SMS/message when fumigation is completed
Step 4. Re-inspection
- After fumigation completion, you will receive: “Fumigation completed. Proceed to re-inspection”
- Status: changes to
Re-Inspection - Go to inspection point according to instructions
- New samples will be taken for analysis
Step 5. Re-inspection results
✅ If analyses passed successfully:
- Status: changes to
Ready for Unloading - You will receive: “Cargo successfully passed inspection. Wait for unloading direction”
- Continue voyage execution as usual
❌ If analyses didn’t pass again:
- Possible re-fumigation or cargo rejection
- Contact dispatcher for further instructions
- Status: may change to
Requires Re-FumigationorRejected
❌ Option 3: Cargo Completely Rejected
When does this happen?
If quality indicators are critically poor or cargo doesn’t meet safety requirements, the terminal may completely refuse acceptance.
Step 1. Receive rejection notification
After inspection, you will receive a message:
🚫 Cargo rejected by terminal
Status: changes to Rejected
Bot will show rejection reason:
- ⚠️ Critical quality indicators
- 🚫 Prohibited impurities detected
- 📋 Other reasons according to regulations
Step 2. Contact dispatcher
- Immediately contact dispatcher or seller
- Receive instructions for further actions:
- 🔙 Return cargo
- 🔍 Search for alternative buyer
- 🗑️ Disposal (in extreme cases)
Step 3. Follow instructions
- Follow dispatcher’s instructions
- Possibly need to return to the starting point
- Or receive a new address for unloading
⏱️ Timers and Automatic Actions
How do timers work?
For some statuses, the system sets time limits for making decisions.
💰 Status “Discount” (Discounts):
- ⏱️ Decision time: 1 hour (may vary)
- 📊 Timer is displayed in the message
- 🔔 15 minutes before expiration, a reminder arrives
- ⚡ After time expires — automatic acceptance of terms
🧪 Status “At Fumigation”:
- ⏱️ Estimated time: 24-48 hours
- 📱 Completion message arrives automatically
- 📊 Exact time depends on processing volume
🔬 Status “Re-Inspection”:
- ⏱️ Usually without strict limit
- 📋 Follow terminal instructions
💡 Tips and Possible Errors
Tips:
- ✓ If cargo falls under discounts — immediately notify the seller
- ✓ During fumigation don’t leave terminal territory without permission
- ✓ Keep all documents, even if cargo is rejected
- ✓ When cargo is rejected, contact dispatcher before leaving the terminal
- ✓ Monitor timers in “Discount” status — decision is made automatically
⚠️ Possible Errors:
| Problem | Cause | Solution |
|---|---|---|
| Seller didn’t receive notification | Not registered or missed it | Make sure of registration, call directly |
| Don’t know where to submit vehicle for fumigation | Instructions haven’t arrived yet | Wait for instructions, contact checkpoint |
| Fumigation drags on beyond 48 hours | Large volumes | This is normal, contact terminal for clarification |
| Re-inspection didn’t pass again | Quality still doesn’t meet requirements | Follow instructions, contact dispatcher |
| Cargo rejected but no instructions | Awaiting decision | Don’t leave territory, immediately call dispatcher |
| Timer expired, decision not made | Automatic acceptance | System automatically accepts terms, check status |
